EXECUTIVE COMMITTEE MEETING
April 18, 2013, 9 a.m.

Present: Teri Warren, David Washington, Angelia Case, Valarie Case, Chauncey Durham, Erika Birk, Natalie Miller, Charlie Burns and Rachel Stewart. Guest: Larry Brittain.

Campus Clean Up

Bart Coffman has already placed flowers around campus prior to Freshman Connection. Some items to check on may include weeding the flower beds and cleaning the fountain.

At the Greenspace, rake and weed the area if no mulch is provided.

Flowers will need to be purchased and David Washington can check on this item.

Rakes and other tools can be provided by CORE.

David and Angelia will bring ice chests if needed.

Rain date: the decision will be made by Monday at 1 p.m. if the weather will not cooperate.

The group discussed awarding a prize for most filled trash bags. Individual must be present to win and prizes can be sent to Enid and Woodward once a person has been named winner.

Campus Kudos

As suggested, a story will be written up to remind employees of the purpose of Campus Kudos and Staff Council. It also will mention the idea of nominating people year-round. An email should also be sent to deans/chairs to encourage nominations.

Guidelines for Campus Kudos were discussed and changes were voted on. Suggestions include:

• Including ALL staff: part-time, full-time (exempt and non-exempt employees)

• Cannot be a Campus Kudos recipient more than one time within a year’s span. Although an individual can be nominated more than once, they may not receive the award more than one time a year.

A motion was made by C. Burns to change the description of Campus Kudos recipients to include full-time and part-time employee, but exclude faculty and student workers as receiving the Campus Kudos Award. With one nay vote, the motion was still second by A. Case.

Other items

Wendy McManus is the recipient of the Campus Kudos award and will be given a certificate.

A general meeting will be set for the week of May 13.

There were no other items of discussion. Meeting adjourned at 10:07 a.m.
EXECUTIVE COMMITTEE MEETING
April 5, 2013 at 1:00 p.m.

Present: Erika Birk, Natalie Miller, Valarie Case, Chauncey Durham, Angelia Case. Guest: Amanda Goodman, CORE president.

Campus Kudos

With each Campus Kudos selection, the committee, as well as the nominators, has issues deciphering between exempt and non-exempt staff members. N. Miller visited with Leah Haines, president of the professional staff. N. Miller researched the reasoning for having two staff organizations and determined that maybe the Staff Council should restructure the wording of “staff” to include part-time, full-time and professional staff when voting for Campus Kudos. Members who attended the meeting felt it was best to include all staff members because all staff, regardless of status, should be eligible for a Campus Kudos award. By redefining staff, we can include any staff member on campus to be nominated for Campus Kudos.

It was suggested to have a professional staff member represent that entity on the Staff Council. Currently, the professional staff is represented on Staff Council with member Charlie Burns.

It was motioned by E. Birk to change the definition of staff and seconded by A. Case. Since there was no quorum, the motion was not moved forward.

E. Birk will work to update online forms and information on the Staff Council web site. N. Miller is looking into making an amendment to the by-laws so that the term “all staff” is used.

Another Campus Kudos concern revolves around the time of year that the award is given and voted on. The committee has decided to exclude spring, summer and fall from any description and continue to give the award three times a year.

$5 Friday

Natalie emailed Ted with Chartwell’s inquiring about having a $5 Friday lunch discount for faculty and staff in Coronado Cafeteria. N. Miller is still waiting for a response from Ted.

Summer Hours Survey

The committee decided to have a summer hour survey next year. No survey will be issued this year and summer hours will remain 7 a.m. to 5:30 p.m.

Campus Clean Up

Campus Clean Up Day is April 23, with a rain date set for April 24.

A. Goodman said that CORE has tools that can be used for Campus Clean Up Day such as shovels, rakes, etc. She said these tools will need to be donated or CORE will have a tool sale because CORE will no longer keep them. CORE also has gloves and trash bags for helpers to use during Campus Clean Up. A. Goodman presented Staff Council with nine coupons for free water. Various members took the coupons and will pick up water for Campus Clean Up Day.

Some items that must be completed for Campus Clean Up Day include:

·         Working on flower pots/cleaning flower beds;

· Mulch Green Space – supervised by Staff Council committee member

· Pick up trash

Suggestion: Having prizes for most trash picked up, most bizarre piece of trash, etc.

· Painting handrails

· Cleaning out fountain

· Picking up leaves in high traffic areas.

Next Meeting

We will meet Thursday, April 18, at 9 a.m. to discuss Campus Clean Up Day and any other business.

EXECUTIVE COMMITTEE MEETING
January 8, 2013 at 10:00 a.m.

Present: David Washington, Stephanie Widick, Charlie Burns, Erika Birk, Natalie Miller, Rachel Stewart and Teri Warren. Guest: Dr. Cunningham.

Dr. Cunningham

Dr. Cunningham opened the meeting by thanking the Staff Council for all we do. She used this time to encourage us to continue to keep the lines of communication going between staff and administration. Dr. Cunningham also mentioned the importance of the upcoming NCA accreditation and the NCAA self-study. She appreciates our time assisting on these committees.

Campus Kudos

Campus Kudos is given once a semester including fall, spring and summer semesters. Erika will include previous semester Kudos nominees for each semester in the email for nominations. Previous semester nominees and current semester nominees will then be voted on. Kudos only are available to non-exempt, full-time employees.

Erika will check nominations as they come in to ensure explanations are given as to why each individual is nominated. If there is no explanation, Erika will contact the nominator and ask for one.

It is understood that current Staff Council members are not eligible for Kudos nominations. Erika will add a statement to the online form stating this information. Staff Council took a vote to exclude current Staff Council members for Campus Kudos nominations and all attending members agreed.

Fall 2012 semester nominations for Campus Kudos will begin March 4 and end March 8.

Jeans Day

David will work on creating a recommendation for administration asking for Jeans Day. Items to include in the recommendation are:

·         Details on professional attire;

·         Jeans Day to be held on first Friday of the month;

· If circumstances call for business attire, first Friday Jeans Day can be continued to the following Friday.

$5 Friday

Natalie emailed Ted with Chartwell’s inquiring about having a $5 Friday lunch discount for faculty and staff in Coronado Cafeteria. She also talked with David Pecha and he said he would encourage it. Natalie is waiting for a response from Ted.

Campus Clean Up

Campus Clean Up Day is April 23.

A few concerns were expressed about methods used to better organize how organizations can help with the event. During past Clean Up days we’ve had a few issues with groups just showing up and not having enough work for each group to complete. Here are a few suggestions on how to make Campus Clean Up run more smoothly:

· Make a list of items for “unannounced” groups. This may include walking around campus picking up trash, washing windows, etc.

· Make time slots for teams/organizations so that the team/org can help, but maybe in smaller groups.

Natalie will work on an email to send to Jim Detgen regarding supplies and a list of clean up items.

Angelia will need to work on updating the poster as time draws near.

Charlie Burns

Charlie’s status recently has changed from non-exempt to exempt therefore changing his role on the Staff Council committee. Natalie had visited with Charlie about completing his term and he accepted. Rachel motioned for Charlie to remain on Staff Council; second by Erika.

There was no discussion of any other business. Meeting adjourned at 11:03 a.m.

Present: David Washington, Charlie Burns, Erika Birk, Valarie Case, Natalie Miller, Angelia Case, Chauncey Durham, Stephanie Widick and Rachel Stewart.

New Staff Orientation

A date for New Staff Orientation has been set for Thursday, Aug. 9 beginning at 9 a.m. Orientation will start in the Regents room that day and will end at 2 p.m. A few members mentioned the importance of having a campus map in the packets. It was suggested that LeRoy Burks have a copy of the map and to review it during his designated time slot. Valarie also mentioned that Staff Council should take new staff to athletic facilities, including Percefull Fieldhouse, Ranger Field, Myers Stadium and the ARC, so they know where athletic events take place. After New Staff Orientation, Natalie will send out an email with an evaluation so that we can make improvements if needed.

Campus Kudos

Erika will send out a campus wide email with the nomination form for Campus Kudos mid-August.

Softball Game

The Faculty/Staff softball game is tentatively set for Thursday, Oct. 4 at 5:30 p.m. at Myers Stadium. Natalie will visit with Coach Bay regarding the facility.

Campus Clean Up

Campus Clean Up is set for Tuesday, April 23 with a Thursday, April 25 rain date. Spring Reunion 2013 is scheduled for April 27.

Committee Vacancy

Sabrina Watson was elected to serve a one-year term on the committee; however, she will be leaving Northwestern. As the next person with the most votes, Teri Warren will now serve on the committee. Welcome, Teri!

Webinars

David tallied the results from the 23 who responded to the interest in attending a staff webinar. Chosen topics include “Building Resiliency and Thriving Through Work Induced Stress” and “Burnt Out Or Just Plain Tired? How to Tell the Difference.” Valarie will work to set up a webinar at some point.

New Ideas

In a discussion about parking and designated parking lots, it was suggested to have parking lots name (A, B, C, D, etc.) to be able to easily direct off-campus personnel to a parking lot and have these locations reflected on the map. In regards to maps, campus maps need to be updated at each kiosk location across campus.

There was no discussion of any further business. Meeting adjourned at 10:10 a.m.

Donation of CORE tools
CORE has offered the Staff Council its gardening tools/equipment. After many questions arose such as where would the tools be stored and would Staff Council use them? David offered to speak with Dr. Mackie to gather more information. Then a decision would be made as to whether the group would take the donation.

Campus Clean Up Day
Campus Clean Up Day will be Wednesday, April 25 this year, with a rain date set for Thursday, April 26. Charlie offered to bring some students from the Woodward Leadership Advisory Board over to help with the event.

Lisa’s Vacancy
Since Lisa Zarrella no longer works at Northwestern, the group decided to leave her position vacant until the selection process begins again in the summer. Also, Lisa handled Campus Kudos and David was told the information was given to Angelia when she left. Unfortunately, Angelia was never given that information, so David will investigate this situation.

Assessment Day
Assessment Day is Wednesday, April 4. As in the past, Staff Council volunteers to cover the employee survey portion during the afternoon. Please sign up for a time slot.
Softball Game – Oct. 4 at 5:30 p.m.
David said that he had 9 people signed up to play softball. He had the food and drinks provided and an announcer if there is enough people to play. Several of the committee were going to send out some extra emails to see if the number of players would increase.

Salvation Army email
The committee discussed the email from the Salvation Army representative about needing a representative to sit on the Board of Directors and assist with their programs. After discussion, the committee decided to table the item until further information could be obtained, such as visiting with the service learning coordinator and more specifics of the request.

Leave Sharing Program
David handed out copies of the Leave Sharing Program that NWOSU has in place, so there was not a need to pursue the “sick leave fund” that had been submitted earlier.

New Staff Orientation
Date has been set for Friday, Aug. 12 at 9 a.m. It was suggested to have the luncheon in Coronado Cafeteria since the cafeteria already will be serving at that time. Debbie will work with Joyce Garvie about obtaining a list of new staff so that we can invite them to the orientation. David is checking with the “leaders” of the departments visited during New Staff Orientation to see if they will be available for the set date and times.

Campus Kudos
Lisa will prepare and send out an email for staff nominations to be submitted from the summer.

Faculty/Staff Softball Game
A tentative date has been set for Oct. 6 at 5:30 p.m. David will contact Matt Adair to announce game.

Old News
The group considered presenting the topic of a “Sick Leave Fund” to administration. If approved, this fund will be reserved for employees who need additional sick leave and may not have enough available. Human Resources can pool out of the fund to help employees and all other specific details from HR can be ironed out if this is approved.

During the end of the year Staff Meeting, Erika mentioned that it would be nice to have an email distributed across campus to notify faculty and staff of newcomers or changes of positions. This is another concern that should be presented to administration.

New Ideas
Staff Council discussed offering another computer class this semester. It was suggested to break up the sessions if possible. David is checking on this possibility. Valarie suggested teaching a web training class so that each department has a person who can update departmental websites. Valarie also will search for free webinars on teamwork or team building.

Softball Game:

The Staff/Faculty softball game had a good turn out and the committee would like to sponsor a game next year. David asked for the committee to start thinking of ideas for improvement.

Homecoming door display

Lisa informed the committee that Staff Council received “Honorable Mention” for the Homecoming Door Contest and that we were encouraged as a committee to participate in the contest again.

David wants the committee to start thinking about what we can do for next years contest.

  Extending Hours:

Mr. Pecha thought that extending the summer hours and providing a pot luck for the new staff/faculty dinner were both good ideas and would be something to look into pursuing for next year. David will keep the committee informed if there is a change.

Mentor Program

Leah met with Julie and Brad and thought the program would be wonderful. Program would be implemented next semester. The International Mentor Program has 45-50 students on campus.

How will program be implemented?

a.) Advertisement around campus and community needs to start very soon. The mentoring program will allow anyone who wants to get involved either on campus or in the community. Individuals and family mentors are encouraged. Guidelines will need to be set in place before program begins.

b.) There will be a Mentoring Form made up for families and individuals who are interested in mentoring a student.

Goals for program:

a.) To provide holiday meals to all the students who are not able to return home for the holidays. Meals can either be set up in the lobby of South Hall or in the Ranger Perk. A pot luck meal would be provided to the students and any left over food would be given to the students. Angelia suggested providing the meal in the Ranger Perk and then providing a movie to watch after the meal. This would give students a since of “bonding” while not being able to return home over the holidays. Mentors would help a student with any questions, events, or concerns that may take place while they are attending school. Mentor Families would take the role as a “family”.

Committee voted and feels like this would be a wonderful program to be apart of and feels like this would help the students tremendously. Julie Barraza will speak with students and see how many would be interested and who would be here over the holidays. Leah will meet with Julie before our next meeting and will bring a list of how many will be participating. Committee will decide on place, date and time to provide the pot luck meals.

A date was set for November 9th at 10:00 a.m. to be our next Staff Council meeting. David will send email out when meeting room has been established.

Staff Council Sponsoring Summer Blood Drive:

Denise Bay discussed the possibility of having Staff Council sponsor NWOSU Summer Blood Drive with the Oklahoma Blood Institute. The Blood Drive will be held June 9, from 9:00 am – 4:00 pm in the Student Center Ranger and Wyatt Rooms. The goal for the drive is to reach 60 donors. Denise asked for Staff Council to participate in hanging up posters, putting out table tents, and distributing flyers. If members want to volunteer their time on the day of the drive it would be greatly appreciated. Denise also informed the committee that prep work for the blood drive is very important. Summer blood drives tend to drive more from staff and faculty other then students. So getting the word out is very important in making the drive successful.

Committee voted yes to help sponsor the drive. Each member took posters, table tents and flyers to be distributed throughout campus.

By-Laws:

All changes have been made to By-Laws and Lisa will discuss getting By-Laws signed by Mr. Pecha.

Computer Classes:

Possible dates for computer classes: July 20th & 22 or July 27th & July 29. Lisa will discuss available dates with Karen Sneary and will also see if Karen wants to hold one class sessions or two class sessions.

The committee also discussed the possibility of offering basic computer training for staff members who are interested. Denise brought up the idea of offering training during the same week as the other computer classes being offered. Lisa discussed the possibility of having staff council members provide the training. Fawn suggested going through ITV to see if this would work out with them. Committee has not reached a decision on providing basic computer training classes and will be discussed at next meeting.

Fawn has sent out nomination forms and has gotten a good response back so far. Karli suggested that a “reminder” email needed to go out with an attachment of the nomination form. Lisa agreed to send out email. Fawn also stated that once she receives a “decline or acceptance” from nominees, she would then send another form out.

Brad Franz came and spoke to the Staff Council committee members in regards to designating three parking spots on the West side of the horse shoe for student visitors. These three spots would be designated for any prospective students who would be on tour of the campus, testing, and/or taking care of business on campus for enrollment purposes.

Mr. Franz recommends posting readable and recognizable signs that could easily be noticed for prospective students/parents and or visitors. The parking spots would be reserved for visitors from 8:00 a.m. – 5:00 p.m. and then open up to any one after 5:00 p.m. Mr. Franz feels this would be beneficial to NWOSU and would make future parking for visitors a lot more accessible for getting around campus.

The committee voted that this would be beneficial for the campus and would be sending Mr. Franz an email to let him know that the committee supports his idea.

David purposed to make sure the list of new staff gets doubled checked and

would like to see if there’s away to get Human Resources to run a report on just new staff for that time period.

Natalie announced that she’s gotten a few forms back but not all of them have been returned by all new staff. Many members thought having the staff fill the forms out before they left from orientation would work out better on getting them returned.

David recommended having the Enid and Woodward campus’s have their own orientation for new staff. This would give the new staff a chance to meet certain coworkers they would run into more often then at the Alva campus. Angelia suggested having them come over for half a day and not do the campus tour since it doesn’t pertain to them as much.

Angelia mentioned possibly having Valarie Case adding staff council minutes to her mass newspaper email and also keeping it on the webpage. This would eliminate sending it out as a mass email each time there are updated minutes. Committee members thought this was a good idea and further discussion will take place at a later date.

Lisa asked committee if staff council would like to through a staff/faculty softball or basketball game this year. David thought softball sounded good but would have to pay close attention to time since there will be no lights. Denise recommended that doing a softball game in the spring would be good and Lisa suggested getting with Mark to see if he would be doing any staff/faculty event and if so, possibly having staff council help out. Further discussion will be brought up in next meeting.
