The Weekly Work Schedule is completed monthly by every regular full-time non-exempt employee.  The Excel Weekly Work Schedule automatically totals hours, as well as computes overtime...time-and-a-half and straight time. This new version has a second worksheet which will help you with running up-to-date totals of sick, annual, and overtime balances.

Simply click on the above hyperlink...Excel should automatically open. Enter your name, Department name, and immediately save the workbook on a diskette or a folder on your hard drive. (Some computers may ask you for a username and password in order to open the file.  Clicking Cancel usually works.)  

CAUTION:  Your Social Security number is a key part of your identity and must be protected.  Do not enter the SS number on your Weekly Work Schedule.

Each month, open the workbook and enter that month's data on the first worksheet in the workbook. After saving it to a diskette --perhaps naming it the month and year -- print it out so you and your supervisor can both sign it before forwarding to payroll.

Non-exempt employees are sometimes asked to travel for the University.  It is very important that they accurately report travel hours as well as hours spent in meetings.  Supervisors and non-exempt employees should contact Human Resources at 580-327-8530 for instructions in how to report travel hours on the Weekly Work Schedule.

 

Regular Full-time Faculty/Staff Payroll Information

The Human Resources Office, located on the first floor of Herod Hall, accepts applications for non-professional positions, such as secretarial, clerical, custodial, and repairs.

When filling a regular full-time staff position, an Internal Search (among current full-time NWOSU employees) is conducted for three days.  If no suitable candidate is found, the search is extended to include external applicants.  In order to be considered in the Internal Search, current employees must complete the appropriate Application and send it to the NWOSU Human Resources Office. 

(Remember to state which job you are specifically interested in, so you will be included in that pool of applicants.) 

Job postings will be placed on the NWOSU website and the Herod Hall Administration Building bulletin board (inside the Business Office area) during both Internal and External Searches.   

The top candidate will be made a "soft offer" contingent on successfully completing a background check.  The necessary paperwork will be completed in the Alva Human Resources Office, the Dean's Office in Woodward, or the Business Office in Enid.

Payroll Services and Policies

Before joining the NWOSU work force, each new hire is required to provide the Payroll Office the following: The Social Security number must be verified before the individual can be paid. Workers who do not have a Social Security card should go to a Social Security Office to apply for one.

Human Resources Service

All newly hired full-time faculty and staff  must go to the Human Resources Office the first day of work to complete the necessary insurance and retirement paperwork. No one should enroll in any benefit or program without first studying the materials provided by the plan companies.  

All new full-time faculty/staff members are required to participate in Northwestern's free Direct Deposit program.  When signing up for payroll and benefits, please bring a voided personal check from your bank of choice. 


DIRECT DEPOSIT

There is a State law in Oklahoma (74 O.S. 292.12) that requires all state agencies-- such as NWOSU-- to enroll every employee in the Direct Deposit program. 

Direct Deposit is a free benefit and provides security and peace of mind each payday.  At any time in Oklahoma, bad weather could close offices on payday, so Direct Deposit is a win-win fringe benefit for all concerned.

Q: Will I qualify for the Economic Stimulus "rebate"?

Q: The application form I completed is for "non-exempt" positions. What does that mean?

A: Certain secretarial, clerical, custodial, and repair positions are defined by the Fair Labor Standards Act (FLSA) as being subject to payments for overtime worked. For non-exempt workers, any hours actually worked over 40 in our Sunday through Saturday work week are calculated at time-and-a-half. All other positions, including faculty, professional, and administrative, are considered "exempt" by the FLSA.

Q: When will I receive my first pay?

A: The Northwestern Payroll Office processes the regular staff payroll once a month. New hires are paid at the end of the first full month of service. If a support staff new hire's first day of full-time employment was in a prior month, Payroll will include a pro-rated payment for that portion of a month when figuring the first paycheck. Full-time, 9-month faculty receive the first payment of each academic year appointment at the end of August. There will be 12 equal monthly payouts of the annual salary from the end of August through the end of June. The June payroll will produce 2 equal monthly payouts--June and "12th month" pay.

Q: As a full-time employee of Northwestern, will I be paid for any holidays?

A: Yes, for each day Administrative Offices are officially closed. In fiscal years 2003-04, 2004-05, 2005-06, 2006-07, 2007-08, and 2008-09, Administrative Offices were/will be closed on the following weekdays:

Q: Do full-time employees get sick or annual leave?

A: Yes. Sick leave is granted to full-time faculty and support staff at the rate of 10 hours for each month worked. Non-faculty, support staff hired in regular, 12-month positions accrue annual leave according to the following schedule:

Note: Northwestern does not credit an employee for accrued leave earned at another employer. If an employee resigns or is discharged, full payment for unused annual leave will be made provided the employee has worked for a continuous six-month period in a regular full-time staff position.

Q: What withholdings will I see coming from my paycheck?

A: Your Form W-4 will guide the Payroll Office in withholding the proper amounts for Federal and State of Oklahoma income taxes. Payroll will withhold the appropriate premium for any insurance coverage you elect that is not paid by the University as a benefit. Northwestern allows you to choose whether you want the premiums coming out before taxes are figured, or after. You will also see 7.65% withheld for Social Security ("FICA"). If you enroll in the Oklahoma Teachers' Retirement System, 7% of your pay and employer-paid benefit premiums will be withheld on a before-tax basis.

Q: When is payday?

A: Payday is anticipated to be the last workday of each month. Your pay will be deposited safe and secure into the bank account of your choice by the State of Oklahoma by 8:00 AM on the last regular banking day of each month.

Q: How do I report an address change?

A: Full-time employees should immediately report any change in address and/or home phone number to both the NWOSU Human Resources Office and the President's Office. Complete the necessary Address Change forms for HealthChoice, OTRS, and TIAA-CREF, then print and sign them before sending to Human Resources. Please do not send them directly to the companies.
